This powerful n8n Turn Emails into AI-Enhanced Tasks in Notion with Multi-User Support workflow automatically processes incoming emails, leverages AI to extract actionable tasks and critical metadata, and creates new, organized pages in your Notion database. Designed with multi-user environments in mind, it intelligently routes emails to the correct Notion database based on unique email aliases configured in Airtable, ensuring seamless integration and enhanced productivity for teams or individuals.
🔧 Workflow Steps:
- Gmail Trigger: Actively monitors your Gmail inbox for new emails, serving as the starting point for the workflow.
- Globals: Defines essential global variables, specifically the Gmail label IDs for “Error” and “Processed” emails, which are used throughout the workflow for status tracking.
- Filter for unprocessed mails: Ensures that only new, unhandled emails are processed, preventing duplicates and errors by checking for existing “Error” or “Processed” labels.
- Extract Route ID: Parses the incoming email’s recipient address (e.g., your_email+routeID@gmail.com) to extract a unique ‘routeID’, which identifies the specific Notion database and user configuration.
- Get Route by ID: Queries an Airtable base using the extracted route ID to retrieve critical information like the Notion database ID, the Notion API token, and whether the route is currently active.
- Active Routes Only: Filters the workflow path, ensuring that only emails corresponding to active routes in Airtable proceed to processing, preventing unnecessary operations for disabled configurations.
- Generate Actionable Task: Utilizes an OpenAI Chat Model to analyze the email content and generate a concise title, a detailed description, and optional bullet points, transforming the email into a clear, actionable task.
- Get Summary & Meta Data: Another OpenAI Chat Model processes the email to provide a comprehensive summary and extracts crucial metadata such as the sender’s full name and email address, the subject line, and the date of receipt, for easy reference in Notion.
- Format Notion Page Blocks: A custom code node dynamically formats the AI-generated task details, summary, and metadata into the appropriate JSON structure required by Notion’s API for creating rich pages.
- Create Notion Page: Sends a POST request to the Notion API to create a new page within the designated Notion database, populating it with the structured content from the previous step. Includes robust error handling to manage Notion API issues.
- Add Label “Processed”: Upon successful creation of the Notion page, this node applies a “Processed” label to the original email in Gmail, marking it as handled.
- Deactivate Route: In case of an error during Notion page creation, this node updates the Airtable record to deactivate the problematic route, preventing future failed attempts.
- Send notification about deactivated route: If a route is deactivated due to an error, an automated email notification is sent back to the original sender, explaining the issue and suggesting a fix.
- Send notification about missing route: If an incoming email’s alias does not correspond to an active route in Airtable, a notification email is sent to the sender, informing them that their message could not be processed.
- Add Label “Error”: If any part of the workflow encounters an unhandled error, this node applies an “Error” label to the original email in Gmail for manual review.
